Document Control

Manage document revisions, controlled release, packages, and acknowledgements alongside the work that depends on them.

Example buyer problem

Teams exchange files without a dependable view of the revision, release decision, or evidence that belongs with them.

Document & Revision Control

An instruction, specification, drawing, or agreement can remain relevant through many revisions. Document Control maintains the document identity while preserving the files and context associated with each revision. Teams can discuss a specific version and connect it to the work or decision it supports.

Control the revision in use

Manage document metadata and revisions through the applicable lifecycle. Review, approval, release, and supersession provide context for which version is ready for use. Periodic review helps the responsible team revisit controlled material on a defined schedule.

Where electronic signing is configured, the approval evidence belongs to the revision being approved. A later revision has its own lifecycle and supporting record. This gives reviewers a concrete basis for checking what was approved and which material changed afterward.

Build packages around the decision

A release or external review often needs several files together. Assemble document packages from the relevant revisions and connect those packages to the activity they support. A specification, test result, and supporting instruction can travel as a defined set.

External acknowledgements preserve the response to shared material. Access and review responsibilities determine what each participant can see and do. The Cross-Company Quality workflow shows how document exchange fits into work across an organization and its partners.

Support bilingual review

English and Simplified Chinese document translation can support review between teams. Translated reference copies remain separate from the controlled source and its revision. Reviewers apply the normal document review and approval process before using translated material as a controlled instruction.

Connect the document to the work

Pair the module with Change Governance when a revision affects a product or process. Connect controlled procedure changes to training and Quality & Compliance, and include supporting documents in design or audit evidence.

Begin with a procedure family or package that people repeatedly reconstruct. Establish owners, revision rules, review responsibilities, and record locations. Then expand the scope as the team develops a dependable routine for maintaining and using the controlled material.

Capabilities

What this module enables.

Module-wide controls

  • Maintain a stable document identity with revision-specific files and metadata.
  • Connect review, approval, release, supersession, and periodic review to the document lifecycle.
  • Assemble document packages using the revisions relevant to a review or exchange.
  • Retain external acknowledgements and supporting evidence against shared material.

Example workflows

  • Controlled procedure revision and release
  • Supplier or customer document package with acknowledgements
  • Evidence package preparation for an audit or product review

Expansion path

Start narrow, then expand with proof.

Start with one document family or recurring package, then connect it to change control, training, quality, and traceability.
